General

Is this a chatbot?

Partly. Our AI assistant answers your customers’ questions from what you’ve told us about your business, and it says it’s an AI. Most of what we build is the work around the conversation: replies, follow-ups, notes and reports.

What happens if it gets something wrong?

It only answers from your knowledge base. Anything outside it, or anything on the list it must not answer (medical, legal, money, complaints, refunds), goes to a person. And before it ever talks to a customer, it has to refuse twenty questions correctly.

Do I have to learn new software?

No. We build it, we run it, and you watch it in your dashboard. If you want to change something, you tell us.

How long does it take?

One to two weeks to go live. Most of that is waiting on things only you can give us, like your price list or your phone number’s registration.

What does it cost?

The audit is free. After it, you get a fixed quote for the build and a monthly fee for running it.

What if I leave?

Your data and your knowledge base are yours. You take them with you.

Do you replace my staff?

No. We take the repetitive work off the people you have, and off you. If you were about to hire someone just to answer the phone, talk to us first.

The free audit

Run the numbers
What is the free audit?

A call where we walk through your week with you. The calls, messages and follow-ups, and where the hours go. You leave with a map of what we’d automate and what we’d leave alone.

How long does this take?

The questions on this page take about a minute. If you go ahead after the audit, what we build goes live in one to two weeks, depending on how quickly we get what we need from you.

What happens on the call?

We ask how your business runs and where your week goes. Then we show you what we’d take off your plate first. You decide afterwards whether to go ahead.

Who is this for?

Local service businesses that book jobs or appointments by phone, form and text. Clinics, salons, contractors, auto shops, offices and studios, and new businesses about to open.

What if I’m not a fit?

We’ll tell you on the call. You keep the map either way, including what we think you should leave alone.

What happens to the numbers I enter?

Nothing. The math runs in your browser, and the numbers never leave this page.

Onboarding: your business, written down

See the workflow
Do I need tidy documents first?

No. Send what you have, in whatever state it’s in. The interview fills the gaps, and we do the writing.

What happens when a customer asks something that isn’t in it?

Our AI assistant doesn’t guess. The question goes to a person, and if it keeps coming up, we add the answer once you’ve approved it.

What if my prices or hours change?

Tell us and we update it. The change goes live once you’ve read it and said OK, and every workflow answers from the new version.

Who owns it?

You do. Your knowledge stays yours, and it goes with you if you ever leave.

Speed to lead

See the workflow
What do I see when a lead comes in?

Every new lead in your dashboard as it arrives, with how fast it was answered and who has it now. Leads from your forms and your ads all land in that one place.

Will people think the reply is from a person?

No. The first message is one you wrote and approved. Anything after it from our AI assistant says it’s an AI.

What if a lead asks something it shouldn’t answer?

It hands the lead to a person. Before launch it’s tested on twenty questions it must refuse or hand off, and one wrong answer means we fix it and run all twenty again.

How long does it take to build?

Live in one to two weeks, depending on how quickly we get what we need from you.

Lead inbox triage

See the workflow
Does it send replies on its own?

Only if you want it to, and only after it passes the go-live test. Until then it drafts, and you or your team send.

What does “not a customer” mean?

Sales pitches, notifications, newsletters and the rest of the noise. They’re marked and set aside, so messages from real people stay on top.

Can I change the categories?

Yes. We set them with you at the start, and we change them when your business changes.

What happens to my customers’ messages?

They stay where they are. Each run reads a message, does its job and keeps no copy of it.

Email triage and replies

See the workflow
How does it know what’s urgent?

We set the rules with you. Complaints, refunds, disputes and anything you name are flagged and sent to the person you chose.

What happens to spam?

It’s marked and set aside, so emails from real people stay on top.

Do I need a new email address?

No. We connect the business inbox you already use.

Follow-up sequences

See the workflow
Which follow-ups should we start with?

Usually the ones you already chase by hand, such as quotes with no answer or bookings that didn’t show. We pick them with you in the free audit.

Won’t this annoy my customers?

You decide how many messages there are and how far apart. A daily cap per person and quiet hours apply on top, and the sequence ends the moment they reply.

Text or email?

Either, depending on what you approve and what your customers agreed to. Texts need your number registered with the carriers first, and we do that with you.

What if someone replies STOP?

Nothing else goes to them. We prove that before launch: reply STOP to a text or unsubscribe from an email, and every further send ends.

Missed-call text-back

See the workflow
Why does a text need carrier registration?

Carriers ask businesses to register before they send texts. We do the registration with you as part of the build, and no text goes out until it’s approved.

Will the caller know it’s automatic?

Yes. The text comes from your business and doesn’t pretend to be someone on the phone. If they reply with something outside the approved set, a person picks it up.

Can I change what the text says?

Yes. Tell us what to change and the new wording comes back to you first. Callers only get the version you approved.

What about calls late at night?

Texts keep to quiet hours in your time zone, which you set with us.

Ad creative

See the workflow
Who decides which ads run?

You do. Each batch comes to you first, and every approved ad goes in paused until you say go.

Does approving one batch approve the next?

No. Every batch needs its own OK. An approval answers the batch in front of you and never carries forward.

What if I don’t have much ad history?

Then we start from your brand guide and your offer, and the first batches show us what to build on.

Can I ask for changes to a batch?

Yes. Tell us what to change and you see the batch again before anything is uploaded.

Landing pages

See the workflow
Do I need a new website for this?

No. A landing page does one job, for one ad, alongside the site you have. If your site needs work too, that’s its own build.

Can I change the words?

Tell us what to change and we change it. Each edit comes back to you as a new preview, so the version that goes live is one you’ve seen.

Can we use testimonials?

Real ones, yes, from your actual customers. We don’t write reviews and we don’t invent them.

How many pages do I need?

Usually one for each angle you’re advertising. The free audit is where we work out which are worth building.

Call notes to your CRM

See the workflow
Which calls does it work on?

Any call your recorder captures, such as sales calls, consultations and team meetings. A call that isn’t recorded has nothing to write up.

Does it ever write down things nobody said?

No. Every decision and action item is backed by what was said on the call. If the words aren’t there, the item isn’t either.

Where do the notes end up?

Wherever your team already works, such as your CRM. We agree the place with you at the start, and test it before the first note is filed.

Do I have to change how I take calls?

Only if you don’t record them now. We help you pick a recorder that fits how you already take calls.

Weekly performance digest

See the workflow
Which numbers does it cover?

The ones you tell us matter, such as leads, bookings, ad spend or revenue. We agree them with you at the start.

Does it change anything in my accounts?

No. It reads and reports. A change it suggests happens only after you’ve said OK.

Can I ask about something in the report?

Yes. Ask us about any line and we’ll walk you through it.

Can I get a monthly view too?

Yes. Alongside the weekly report we can write a monthly one that looks at the longer trend.

Ads management

See the workflow
Do you run both Meta and Google ads?

Yes. We run both, and the numbers from each show in the same dashboard.

Can you take over an account that’s already running?

Yes. We start by reading what’s there and what has worked before we make anything new.

Do I still approve the ads?

Every batch. New ads go in paused and run only on your go.

How is this different from the weekly digest?

Ads management is us doing the work, from creative and testing to the daily read. The weekly digest is the short report on how the week went.

Websites and hosting

See the workflow
Is the website part of a workflow build?

By default, yes. Building the site sits inside the build, and keeping it running sits inside operations.

Do you write the words?

We can. We write from the knowledge base built at onboarding and what you tell us, and you correct every page before it goes live.

We haven’t opened yet. Is it too early?

No. A new business can plan its site and its workflows together, from the start.
